What are Your Cancellation Policies?
Cancellation by Client:
Please refer to each individual program for applicable cancellation policy.
Cancellations have to be received in our office by email or fax during regular business hours (Mon-Fri, 9am–5pm, PST)
Cancellation by Kanata:
Because of the nature of adventure travel, we reserve the right to cancel any trip prior to departure for any reason, including insufficient booking numbers or logistical problems which may impede trip operations. a trip cancellation due to insufficient booking numbers will occur at least 30 days prior to departure. Notice will be given to the agent well in advance and all efforts will be spent to find an alternate program for our clients. however, Kanata adventure specialists is not responsible for expenses incurred by clients in preparing for the trip (i.e. non refundable airline tickets, equipment etc.).
What are our Payment Options?
Kanata offers three different payment options: by cheque drawn on a Canadian account, wire transfer, or by major credit card:

Please refer to each individual program for applicable payment policy. If payment has not been received in time, we reserve the right to cancel the booking without further notice. overdue accounts will be charged interest of 1% per month.
Should we Take Coverage for Travel Insurance and Evacuation Costs?
We highly recommend the purchase of trip cancellation insurance at the time of booking to cover costs of a possible cancellation to all of our clients. If your trip involves backcountry travel, we recommend to choose an insurance policy that also covers evacuation cost.
Will Kanata Review Publications Promoting Their Tours?
Absolutely! And we prefer to review those materials before you go to press (on-line or in print). Please inform us about the choice of programs or services you wish to publish. We will gladly review your publications to ensure accuracy. This wholesale manual is the basis for all services included and excluded in our programs.
What are Your Provisions for Unforeseen Changes, Force Majeure or Trip Interruption?
We reserve the right to pass on price increases due to changes in taxes or public/municipal fees that occur after the time of publication. Kanata Adventure Specialists is not responsible for any costs that occur due to delay, detour, amendment, cancellation or premature termination of parts or the entire itinerary due to acts of God etc.
Are There Any Limitations to Your Tours and do you Provide an Equipment List?
Some of our programs are physically challenging and require the ability to function in a group environment in remote areas and under challenging conditions. Please refer to each program itinerary for applicable information and specific equipment lists and pass this information on to your clients. Participants who are not prepared—physically, mentally or because they don’t have the necessary equipment— pose a risk to their own health as well as the successful and safe operation of the trip.
We reserve the right to refuse a client’s participation should there be reasonable safety concerns. Please contact our friendly and knowledgeable office staff prior to the trip start if you have any questions or concerns.
What Jurisdiction does Kanata Fall Under?
The jurisdiction for all services booked through Kanata Adventure Specialists is Clearwater, BC, Canada.
Do You Require Medical Release Forms for All Participants?
The safety of our clients and guides is our first priority. For some trips that involve remote wilderness travel we require our clients to fill in a detailed medical questionnaire at the time of booking. Any health concerns, medications, allergies etc. should be pointed out so our guides are prepared and can react properly in case of an emergency. The provided medical information will be handled 100% confidential by our office staff and guides.
A sample medical form is published on the next page. You will receive this or a similar form at the time of booking (if required) and we ask you to have the forms filled in and faxed or mailed to our office within one month.
Do You Require a Waiver of Liability for Each Participant?
A standard Waiver of liability has to be signed by each participant for any commercially guided outdoor activity. Please use the sample waiver published on the next pages as reference and inform your clients about the concept of liability waivers. Clients younger than 19 years of age require the signature of a legal guardian in order to participate. The liability waiver will be sent to you at time the of booking (if required in advance) and we ask you to have the form filled in by the clients and faxed or mailed to our office within one month.
How do you Support our FIT Guests While Travelling?
Please provide all FIT Guests with our toll free telephone number. We encourage guests to keep in touch with our office with questions or concerns. FIT client issues will only be handled in Canada or Alaska while guests are travelling. If there are concerns by the client while on tour, we can address them while they are on tour. We are unable to assist with situations or respond to complaints after clients depart Canada or Alaska/Yukon.
